Email Automation
Using filters, you can automate a large number of mail client responses to any incoming email. Common automation includes:

Filter Setup and Management
Follow these steps to create a new filter:
- Log into the WebMail client.
- In the upper right corner, click Settings.
- In the left menu, select Filters.
- In the bottom part of the Filters column, click the + button.
Then enter the name, rules and actions in the Filter Definition table.
For Incoming Mail
You can only apply filters to incoming messages. You can either select All messages or set conditions for them. By checking the Matches all of the following rules or Matches any of the following rules options, you specify whether the filtered message must meet every single rule, or at least one.
Unless you apply the filter to all messages, set individual rules.
You can filter by subject, sender, addressee, content (body), size, date and manually entered parameters (…). Selecting a property is usually followed by a comparison operator (contains, does not contain, value is greater than, etc.) and the specific value you are setting the filter to.
To add a rule, click the + button next to any existing rule. To remove a rule, click the – button.
Execute the Following Actions
Filters can perform the following operations and combinations thereof in the order in which you specify them:
- Move or copy message to the selected folder. The message stays in the mailbox.
- Redirect or send message copy to a specified email. To enter multiple emails, enter the action multiple times, each time with a different email. The original message remains in the mailbox.
- Discard with message. The mailbox refuses to accept the email, the system returns a undeliverable message to the sender. You can add your own text.
- Reply with message. Use this option when creating automated replies.
- Delete message. Messages deleted by the filter do not use the bin. To keep the message in the mailbox, use the option Move message to and select the Trash folder.
- Set, add, or remove message flags overwrites, adds, or removes the selected flags: read, answered, flagged, deleted, or draft.
- Send notification. This action sends an email notification that the message has been received.
- Keep message in inbox prevents the message from being moved (by flag settings for example).
- Stop evaluating rules. The message will not follow any rules from this point on.
To add another action after the existing one, click the + button next to the action. Click the – button to remove the action.
The order of actions cannot be changed, you can only remove an action and add it again after another action.
Enable, Disable, and Delete Filter
You can enable, disable or delete filters. To access these options, follow these steps:
- In the Filters section, select the filter you want to disable, enable, or delete.
- At the bottom of the Filters section, click the gear icon.
- Select Enable/Disable or Delete.
A disabled filter is crossed out in the list.
Filter Sets
Filter sets act as a mail client mode switch.
Only one filter set can be enabled at a time.
If you have different situations, such as vacation and normal work mode, treated by multiple filters, placing these filters in a set saves you the work of turning them off and on individually.
You manage filter sets in the same way as filters themselves, but you can find the controls in the Filter Sets section.
Create New Filter Set
Follow these steps to create a new filter set:
- Log into the WebMail client.
- In the upper right corner, click Settings.
- In the left menu, select Filters.
- In the bottom part of the Filter sets column, click the + button.
- Enter the filter set name and choose whether to import existing filters from another set or file.
- Click the Save button.
Enable, Disable, and Delete Filter Set
You can enable, disable or delete filter sets. To access these options, follow these steps:
- In the Filter Sets section, select the filter you want to disable, enable, or delete.
- At the bottom of the Filter Sets section, click the gear icon.
- Select Enable/Disable or Delete.
Enabling one set of filters will disable the currently enabled set. A disabled set of filters is crossed out in the list.
By selecting the Download option, you can save the filter set settings to your computer and then upload as a new filter template.
Common Issues
Common problems with setting up email filters include:
Filter Interface Error
Issue: An error message is displayed instead of the filter management interface.
Cause: Filter settings in the WebMail client are only available in the desktop view.
Solution: If you are using mobile view (UI), switch it to Classic or Larry theme in Settings > Properties > User Interface > Interface skin.
Filters Don’t Work
Issue: The set filters are not working properly.
Solution: Perform a thorough check of your mail settings:
- Check in DNS that you are really using WEDOS mail servers. You can find more information in the article about MX DNS records.
- Check the mailbox settings to see if they conflict with the filter.
- Make sure that neither the filter set nor the filter itself are disabled.
- Test the functionality of the filter commands, for example by simplifying it and gradually adding conditions/commands.
FAQ
Question: How exactly should I set the filters for (some common action)?

Question: What if I want to use some filters in two different sets at the same time?
Answer: Create a set with shared filters and import it when creating other sets. Then add individual set filters. If you subsequently want to add another shared filter, you must create it in each set separately.
