Basic Automatic Signature
Follow these steps to set up a basic automatic signature:
- Log into the WebMail client.
- In the upper right corner, click Settings.
- In the left menu, click Identities.
- In the Identities section, choose an identity to set the signature for.
- In the Signature field, enter your signature.
- Click the Save button.
Next, make sure that the client adds signatures to all emails:
- In the left menu, select Preferences.
- In the Preferences section, choose Composing Messages.
- In Signature Options, make sure that Automatically add signatures is set to always. Alternatively, select an option according to your preference.
- Click the Save button.
All sent messages will now contain your (text) signature.
HTML Formatted Signature
You can format the message signature using HTML. This setting allows you to set the font and colors of the signature, or add images and other custom code.
You can only attach an HTML signature to HTML messages. First, set all messages to HTML format by following these steps:
- In the upper right corner, click Settings.
- In the left menu, select Preferences.
- In the Preferences section, choose Composing Messages.
- In Main Options, change Compose HTML messages to always.
- Click the Save button.
Next, edit your identity and check HTML signature.
You can now edit the HTML signature in that same text field.
By clicking on the icon, you can upload your own image up to 64 KB in size.
To add your own HTML, click the <> icon in the HTML signature editor.
Images
The maximum file size size of an image that can be inserted directly is 64 KB. If you need to add a larger image to your signature, follow these steps:
- Upload the image on your Webhosting or other service that allows connection via HTTPS.
- Click the <> icon in the editor to add custom code.
- Insert the image HTML code according to the template (replace the contents of the brackets with your own values):
<img src=”https://(image URL)” alt=”(short image description)” height=”(height in pixels)”>
If the image is not available at that URL, it will not appear in your emails.
Common Issues
Common problems with automatic email signatures include:
Signature Isn’t Formatted
Issue: I have a formatted signature set up, but it appears as unformatted to recipients.
Cause: The most common cause is disabling global message formatting. HTML may also be disabled in the recipient’s client.
Solution: Make sure that, in addition to formatting the signature itself, you also have HTML messages turned on according to the instructions in the first part of the HTML Formatted Signature chapter.
Signature Doesn’t Load Oon Other Clients
Issue: The set signature does not work when sending messages from another email client.
Cause: In this case, WebMail settings only apply to messages sent from WebMail.
Solution: Set the signature in the client according to its manual.
