This article describes how to set up an automated reply in the WebMail client. You can find more detailed information about managing email filters in the article WebMail – Filters.

Create New Automated Reply

To create an automated reply, first create a new filter by following these steps:

  1. Log into the WebMail client.
  2. In the upper right corner, click Settings.
  3. In the left menu, select Filters.
  4. At the bottom of the Filters section, click the + button.

In the Filter definition form, enter:

  • Filter name: Choose any name by which you can easily identify the filter.
  • For incoming mail: Check All messages.
  • Execute the following actions: Select Reply with message and fill in the Message body and Message subject to let the user know the reply is automated.

When you’re done with the setup, click the Save button.

Advanced Automated Replies

You can extend the basic automated reply with other options, for example:

How Often Send Messages

By setting a positive integer in the How often send messages box in the Execute the following actions section, you limit the number of automated replies sent to a specific address. We recommend setting the number to at least 1.

We do not recommend setting the number to 0 (or leaving the field blank) – you risk exceeding the daily email limit, or starting an automatic reply loop.

Set Date Range

If you don’t want to toggle the filter manually for a certain time period, you can set Current Date as a condition. Expand the basic settings with these steps:

  1. In the For incoming mail section, check Matching all of the following rules.
  2. Select the Date rule, then select a format and the condition value is greater than or equal to. In the last field, enter the date from which you want to send the automatic message in the selected format.
  3. Use the + button to add another rule.
  4. Select the Date rule, then select a format and the condition value is less than or equal to. In the last field, enter the date until which you want to send the automatic message in the selected format.

Delete Message

Warning, deleting messages with filters doesn’t use the Bin!

To delete all messages incoming during your absence, expand the basic settings with these steps:

  1. In the Execute the following actions section add another rule using the + button.
  2. Select Delete message.

Toggle Automated Reply

To temporarily stop sending the automatic reply or reactivate it, follow these steps:

  1. Log into the WebMail client.
  2. In the upper right corner, click Settings.
  3. In the left menu, select Filters
  4. In the Filters column, select the automated reply.
  5. At the bottom of the Filters column, click the gear icon.
  6. Click Enable/Disable.

You can recognize a disabled automated reply by its name being crossed and faded out.

Common Issues

Common problems with automated replies include:

Automated Reply Doesn’t Work

Issue: Auto-replies end up in spam or are not delivered at all.

Cause: By their very nature, automatic replies usually have a fairly high spam score.

Solution: First, check the automated reply deliverability by setting the All messages rule. If this automated reply is not delivered, troubleshoot the email deliverability issue. If it is delivered, but the detailed filter still does not work, check and possibly adjust that filter’s conditions.

You can improve deliverability by using SPF and DMARC domain records. If you test the filter from one address and you set a non-zero value for the number of days between automatic replies, expect to receive one automatic reply per 24 hours per address.

Question: How do I cancel the automatic reply?
Answer: Disable or delete it completely.

Question: Can I auto-reply only to selected emails?
Answer: Yes, you can compare recipient addresses according to the instructions for setting up filters.
